WindowSnap Pro is a professional tool designed to help window and door merchants, contractors, estimators, and their customers collect photographs and project information and generate a preliminary window and door list or assessment.

This Privacy Policy applies to users in Canada and the United States. Additional rights may apply depending on the user’s province, territory, state, or country of residence.

By using WindowSnap Pro, you acknowledge the practices described in this Privacy Policy.

3. Scope and roles

WindowSnap Pro may be used in different ways:

Direct users

When a merchant, contractor, estimator, or other professional creates and manages a WindowSnap Pro account, CS AI Systems generally determines how the account and service information is processed.

Merchant customers and invited individuals

A merchant may send a WindowSnap Pro link to a homeowner, customer, employee, representative, or other individual so that the person can photograph windows and doors and provide project information.

In these circumstances:

  • the merchant may determine why the project information is collected;

  • CS AI Systems may process that information on behalf of the merchant;

  • the merchant remains responsible for providing appropriate notices and obtaining any consent required by law.

Questions about a particular merchant’s use of information should also be directed to that merchant.

4. Information we may collect

The information collected depends on the features used.

4.1 Account and identity information

We may collect:

  • first and last name;

  • business or organization name;

  • job title;

  • email address;

  • telephone number;

  • username or account identifier;

  • authentication and account-security information;

  • preferred language;

  • subscription or account status.

We do not require users to provide government identification numbers.

4.2 Project and property information

Users may provide:

  • project name or reference number;

  • property address or general project location;

  • customer name and contact information;

  • type and quantity of windows or doors;

  • approximate dimensions or measurements;

  • room names, floor levels, notes, comments, and specifications;

  • preferred materials, colours, configurations, or products;

  • information about an existing building or proposed renovation;

  • information entered in forms or uploaded by the user.

Users should avoid entering information that is not necessary for the project.

4.3 Photographs, images, and camera access

WindowSnap Pro may request permission to access the device camera or photo library so that users can:

  • photograph windows, doors, rooms, façades, or building openings;

  • upload existing project photographs;

  • analyze images and prepare a preliminary project list;

  • share project information with the relevant merchant or professional.

Photographs may incidentally contain personal information, such as:

  • individuals appearing in the background;

  • personal belongings;

  • house numbers;

  • vehicle licence plates;

  • reflections;

  • interior or exterior details of a residence.

Users should take reasonable care to exclude individuals and unrelated private information from photographs whenever possible.

WindowSnap Pro does not use facial recognition or attempt to identify individuals appearing in photographs.

4.4 Artificial intelligence and automated analysis

WindowSnap Pro may use artificial intelligence, computer vision, or automated processing to:

  • detect or classify windows and doors in photographs;

  • organize project images;

  • prepare a preliminary list of window and door openings;

  • estimate dimensions or proportions;

  • identify information that may assist a merchant in preparing an initial assessment;

  • improve the efficiency and accuracy of the service.

AI-generated information is preliminary and may contain errors. It is not a certified measurement, engineering assessment, production measurement, construction plan, or final quotation.

Final dimensions and technical requirements must be verified by a qualified person before ordering, manufacturing, installation, or construction.

We do not use automated processing to make decisions that produce legal or similarly significant effects regarding an individual.

4.5 Device, technical, and usage information

We may automatically collect limited technical information, including:

  • device type and operating system;

  • application version;

  • language and regional settings;

  • IP address;

  • approximate location inferred from an IP address;

  • date and time of access;

  • session and login information;

  • crash reports;

  • diagnostic data;

  • performance information;

  • features used and interactions with the service;

  • device or application identifiers used for security, analytics, and fraud prevention.

We do not collect precise GPS location unless a specific feature requires it and the user has provided the required permission.

4.6 Communications and customer support

When users communicate with us, we may collect:

  • the content of emails and support requests;

  • contact information;

  • attachments;

  • technical information provided for troubleshooting;

  • records of our responses.

4.7 Subscription and payment information

Where paid subscriptions are offered through Google Play, Apple, or another payment provider, the payment provider processes the payment information.

  • transaction identifier;

  • renewal or cancellation status.

We generally do not receive or store complete credit-card numbers processed directly by an app store or payment processor.

5. How we use information

  • perform AI-assisted image analysis;

  • generate preliminary project lists and reports;

  • transmit project information to the merchant or professional selected by the user;

  • maintain, troubleshoot, and improve the application;

  • monitor service performance and reliability;

  • protect accounts, users, and the service against fraud, misuse, and security threats;

  • enforce our terms and policies;

  • establish, exercise, or defend legal claims;

  • communicate important service, privacy, or security updates;

  • send marketing communications where permitted by law and subject to applicable consent requirements.

We limit the collection and use of personal information to purposes that are reasonable, necessary, and appropriately disclosed.

7.1 Merchants and project professionals

Project information may be disclosed to:

  • the merchant who invited the user;

  • the merchant selected by the user;

  • authorized employees or representatives of that merchant;

  • contractors, estimators, installers, designers, or other professionals involved in the project.

This disclosure is part of the core WindowSnap Pro service.

7.2 Service providers

We may use service providers for:

  • cloud hosting and data storage;

  • database management;

  • artificial-intelligence and image-processing services;

  • authentication;

  • email and communications;

  • application analytics;

  • crash reporting;

  • customer support;

  • cybersecurity;

  • payment and subscription processing.

Service providers are authorized to process information only for defined purposes and are expected to protect it appropriately.

7.3 Business transactions

Information may be disclosed or transferred as part of:

  • a merger;

  • acquisition;

  • financing;

  • restructuring;

  • sale of assets;

  • due diligence;

  • insolvency or similar corporate transaction.

Where required, users will receive appropriate notice.

8. No sale or targeted advertising

CS AI Systems does not sell personal information.

WindowSnap Pro does not use project photographs or customer project information for cross-context behavioural advertising or targeted advertising based on activity across unrelated businesses, websites, or applications.

Should these practices change, we will update this Privacy Policy and provide any notice, consent, or opt-out mechanism required by applicable law.

9. Artificial-intelligence providers and model training

Project information and images may be processed by authorized artificial-intelligence or cloud service providers solely to provide the requested WindowSnap Pro functions.

Unless clearly disclosed and authorized:

  • personal project photographs will not be sold;

  • project photographs will not be used for third-party advertising;

  • service providers may not use project information for unrelated purposes.

The developer must confirm whether uploaded images or project information are used to train or improve WindowSnap Pro’s own AI models.

Where information is used to improve WindowSnap Pro, we will use reasonable measures to minimize, aggregate, anonymize, or de-identify the information where appropriate and legally required.

10. International and cross-border processing

CS AI Systems is based in Québec, Canada.

Personal information may be processed or stored in Canada, the United States, or another country where our service providers operate. Consequently, information may be subject to the laws of those jurisdictions and may be accessible to courts, law-enforcement agencies, or government authorities in accordance with applicable law.

Before transferring personal information outside Québec or Canada, we take reasonable steps appropriate to the sensitivity of the information, including evaluating contractual, organizational, and technical safeguards where required.

11. Data security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against:

  • unauthorized access;

  • loss;

  • misuse;

  • alteration;

  • disclosure;

  • destruction.

These measures may include:

  • encrypted transmission using HTTPS or comparable protocols;

  • access controls;

No system is completely secure. We cannot guarantee that unauthorized access, loss, or security incidents will never occur.

12. Retention of information

  • complete requested projects;

Backup copies may remain for a limited period before being overwritten or securely deleted.

13. Account and data deletion

A user may request deletion of a WindowSnap Pro account and associated personal information:

We may take reasonable steps to verify the identity and authority of the requester.

Following a valid deletion request, we will delete or anonymize information associated with the account, except information that must be retained for:

  • legal or regulatory compliance;

  • fraud and security prevention;

  • financial or transaction records;

  • dispute resolution;

  • enforcement of agreements;

  • the establishment, exercise, or defence of legal claims.

Information controlled by a merchant may need to be requested directly from that merchant. We will assist as required by applicable law and contractual obligations.

Deleting the application from a device does not automatically delete the user’s account or server-stored information.

14. Accuracy and correction

Users are responsible for ensuring that information submitted through WindowSnap Pro is accurate and that they are authorized to provide it.

Users may update certain account information directly through the application. Requests to correct other personal information may be submitted to the Privacy Officer.

We may decline or limit a correction request where permitted by law, including when the information consists of a professional opinion, inference, or record that must be preserved.

15. Canadian privacy rights

Residents of Canada may have rights under applicable federal, provincial, or territorial privacy laws, including the right to:

  • know whether we hold personal information about them;

  • request access to personal information;

  • request correction of inaccurate or incomplete information;

  • withdraw consent where applicable;

  • request information about how personal information has been used or disclosed;

  • complain about our privacy practices;

  • request deletion or de-indexing where a specific law provides such a right.

  • opting out of certain profiling;

  • appealing a decision regarding a privacy request;

  • receiving equal service and pricing when exercising privacy rights.

We do not discriminate against individuals for exercising applicable privacy rights.

For California residents, the categories of personal information described in this policy may include:

  • identifiers;

  • customer-record information;

  • commercial information;

  • geolocation inferred from an IP address;

18. Privacy requests and identity verification

We will collect only the information reasonably necessary for verification.

Where permitted, we may deny a request that is fraudulent, excessive, manifestly unfounded, or subject to a legal exception. When an appeal right applies, our response will explain how to appeal.

19. Children and minors

WindowSnap Pro is intended for businesses, professionals, property owners, and adult customers. It is not directed to children under 13 years of age or to minors below the minimum age required to consent under applicable law.

We do not knowingly collect personal information directly from children.

If we learn that a child has provided personal information without appropriate authorization, we will take reasonable steps to delete it. A parent or guardian may contact [privacy@windowsnappro.com].

20. Third-party websites and services

WindowSnap Pro may contain links to websites, platforms, merchants, payment providers, or other third-party services.

Their privacy practices are governed by their own policies. We are not responsible for the privacy practices or content of unrelated third parties.

21. Electronic communications

We may send transactional communications concerning:

  • account activity;

  • project submissions;

  • service operation;

  • subscriptions;

  • security;

  • support;

  • changes to our policies.

Where permitted and with any required consent, we may also send promotional communications. Users may unsubscribe using the link provided in the message or by contacting us.

Unsubscribing from marketing messages does not prevent necessary service or security communications.

22. Privacy incidents

If a privacy or security incident occurs, we will investigate it and take reasonable corrective measures.

Where legally required, we will notify affected individuals and the relevant privacy or regulatory authorities.

23. Changes to this Privacy Policy
